As the Event Manager and ambassador of the Mama brand, while representing the Company, you are expected to embody the Mama Spirit. Objectives:

  • Organize and ensure smooth running and client satisfaction of each event
  • Prospect, develop and maintain the best possible relationship with MICE agencies and corporation to ensure Mama is solicited on each enquiry
  • Qualify and answer each group and event request according to strategy and brand standards
  • Maximize the occupancy and the revenue generated in the group and events departments by applying the strategy set by management
  • Promote the image of MAMA SHELTER and promote all MAMA properties.


General duties of the position:

  • Provide the best services while respecting the customer’s requests and developing turnover
  • Guarantee the application of the general terms and conditions of sale of the signed contract and resulting procedures
  • Ensure a proper communication to all hotel departments involved according to the event format
  • Ensure a correct invoicing for events by companies or individuals in accordance with instructions
  • Make sure all event spaces are well maintained and kept clean at all time. Report any damage seen and coordinate with maintenance
  • Conduct regular benchmark and make the necessary suggestions to the management in order for MAMA to remain leader in the industry
  • Provide management and HQ with relevant reporting and suggest action plans if necessary
  • Prepare and apply a yearly action plan to ensure maximized guest satisfaction and revenue
  • Keep best possible relationship with Accor group and event market to make sure they think MAMA for all enquiries.


Activities and tasks related to the position:

  • Ensure prompt response to client enquiries by phone and email, creation of offers and contarcts
  • Quote rates according to the management instructions
  • Be conversant with the services offered by MAMA SHELTER, inform the customer about them and encourage the customer to use them
  • Once the contract is signed (head office), take responsibility for organizing the event: initial contact, collect information, draft job descriptions, produce menus, rooming list
  • Follow up deposits, payments and debtors, draw up the final invoice
  • Manage the customer file and keep it updated
  • Share regularly the client database with headquarter for marketing activities
  • Communicate information internally (job descriptions, group meeting, summary email)
  • Complaint handling and requests for special services
  • Produce qualitative reports with the customer after the event
  • Monitor and optimize the occupation planning for the restaurant, meeting rooms, and bedrooms
  • Coordinate the appropriate organization of the work and logistics
  • Communication and coordination with marketing and PR agencies
  • Researches and analyzes new products, pricing and services of competition
  • Organize visits within MAMA SHELTER with customers
  • Create and control invoicing for events
  • Check customer creditworthiness
  • Participation in department meetings
  • Performs other duties as assigned to meet business needs.


Skills/Qualifications

  • Minimum 3 years of experience in the hotel industry on the same or relevant position
  • Business sense
  • Sense of hospitality

  • Good oral and written expression, excellent presentation
  • People skills, outgoing demeanor
  • Taste for negotiation
  • Responsiveness, a self-starter
  • Command of English
  • Good computer skills and familiarity with new technologies
  • Ability to anticipate needs and wants of guests while balancing business needs of the company.
  • Good at organizing and prioritizing tasks.
  • Works great in a team.
