Job Description:

Reporting directly to the CEO, the Executive Assistant is someone with an earnest desire to play a supportive and strategic role. This person represents the CEO to internal and external customers so a confident, polite, business savvy, and pleasant demeanor is required.

The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission and results driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.


A day in the life:

  • Complete a broad variety of administrative tasks for the CEO including: managing business and personal calendar; completing expense reports; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Attend key meetings, produce agenda, minutes, action items and prepare follow up
  • Draft and proofread memos, letters, presentations, contracts and reports Researches, prioritizes, and follows up on incoming issues and determines appropriate course of action.
  • Acts as a liaison between the CEO and internal departments
  • Keeps CEO well informed of upcoming commitments and responsibilities, following up appropriately.
  • Completes deliverables on behalf of the CEO, including drafting business responses, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings
  • Anticipate the CEO’s needs, act accordingly and proactively bringing together appropriate people and resources to support in addressing issues.
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impact. Also, provide regular updates on the progress of assigned projects.
  • Complete a variety of personal errands


What you’ll need to be successful:

  • Minimum of 2 years of related business experience as an EA preferably to a C-level executive in a SaaS organization.
  • Software savvy a must. Mac OS, G Suite, Trello, Slack preferred.
  • Ability to handle high workloads and fast paced work environment while maintaining focus and constantly striving to add value
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Advanced level interpersonal skills and the ability to build relationships with stakeholders, including employees, investors, external partners, and clients.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Project management skills and experience
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Previous experience working in a startup environment
  • Passion, drive, and a sense of humor.
